Census - Early Years Summer Census

Modules > Census > School

The following changes have been made to the summer Census and beyond, as a result of the Spring Budget:

  • The funded hours have been updated. As of April 2024, all eligible working parents of two-year-olds are able to access funding for 15 hours per week of education and care, for 38 weeks of the year.

  • A new column Expanded Hours has been added to the Pupil Reconciliation panel to track early years funding for pupils aged 2 years at 31 March 2024 (pupils born between 01.04.2021 and 31.03.2022). This column will be used to add up to an additional 15 hours of Funded Early Year Childcare for that student.

The Expanded Hours field above can only be used if the Eligibility Code (previously named Thirty Hour Code which has been renamed to reflect the addition of the new Expanded Hours field) has been added to the Student > Student Details > Profile > Funding & Allowances > Additional Information tab.

Note: Census data prior to Summer 2024 will still have the Thirty Hour Code tag, but will now be seen as Eligibility Code on the Student Record.

Options - Enhancement to Options Setup

Modules > Options > Options Setup

In Step 1 - Setup Details, users can now choose between Legal Names (default) and Preferred Names for Students. This should be set at the beginning of the process.

Options - Enhancements to Timetable Patterns

Modules > Options > Timetable Patterns > Timetable Pattern Settings > Automatic Pattern

A new toggle Subjects in Blocks (default off) has been added to the Automatic Pattern > Generation - Settings popup which will keep chosen Subjects in different blocks to each other, to prevent staffing issues later in the process.

When the toggle is set to on, the popup expands to reveal the Subject Relationship table. Clicking Add New takes the user to Step 1 General Settings which requires two subjects to be linked, where Subject 1 must not be in the same block as Subject 2.

Step 2 Group Settings per Subject works as before.

Note:

  • Number of Blocks should be set to greater than 1.

  • Multiple Subject Relationships can be added. 

  • Where a Subject has multiple classes the Subject can be selected for Subject 1 and Subject 2, so that they are automatically added to different blocks.

Modules > Options > Timetable Patterns > View Patterns > View Details > Pupil Review

For both Automatic and Manual pattern generation, enhancements have been made to improve the balancing of blocks:

  • The distribution to classes will be balanced by key attributes: Gender, SEN, PP, and EAL so that no classes are overloaded with a particular type of student.

These key attributes mentioned above have been added to the Pupil Review popup, which can be exported using the Export button to export by Subject and Block, or by right clicking in the table to export the Pupil Review grid.

Analysis - New Clubs & Trips page

Modules > Analysis > Clubs & Trips

A new Clubs & Trips page has been added to the Analysis menu. This will provide the user with visibility of members - both individually and by Year Group.

Users will be required to fill in the following parameters, all of which are pre-populated:

  • Start Date - Pre-populated with the first day of this academic year

  • End Date - Pre-populated with today's date

  • Year Group - All Year Groups are pre-populated

  • Clubs & Trips - All Clubs & Trips are pre-populated

Users will click Apply to display the data in the table below. 

  • On clicking on an entry in the table below, a further table will appear to display View Year Group Breakdown or View Member Breakdown.

  • Finally, when a student is selected in the View Member Breakdown table, a new table will show below which will list all of the Clubs and Trips for which they are a member.

Note: Student counts are historical when looking at date ranges that overlap previous academic years.

The Clubs & Trips option will have to be enabled from the Analysis module for the appropriate roles.

ONLINE PAYMENTS

Online Payments - Instalment Clubs & Trips: Adding Bespoke Payment Amounts for New Memberships

Groups > Clubs & Trips

When adding a new record in the Student Memberships panel for a Club/Trip that is paid in instalments, and then creating an order - there is now an option to select Add Bespoke Amount where the Deposit, Instalments, and Due Dates can be edited.

Note: If users change the Deposit or the Number of Instalments - the Due Dates will be removed.

Note: Go to Modules > MyChildAtSchool > Online Payment > View Purchases - to view assigned members and their Order Summary (Orders to Date and Outstanding Payment Schedule).

Finance - Ability to delete Templates from AR/AP Invoices & Credit Notes pages

Accounts Receivable / Accounts Payable > Invoices & Credit Notes

Finance users now have the option to delete Templates from the Accounts Receivable and Accounts Payable Invoices & Credit Notes pages, by selecting one or more Templates and clicking Cancel.

Cancelling the Template will delete it from the database. A reason is not required for deleting a Template. A Confirmation popup appears letting the user know the process is irreversible.

Note: Accounts Payable Templates can also be deleted when double clicking on the Template row and clicking Cancel from the Non Order/Sundry Invoice panel.

Finance - Import/Export page relocated and converted to a new UI

Config > Finance > Import/Export

The Import/Export page has been relocated to Config > Finance (previously Modules > Finance > Maintenance) and has also been converted to a new user interface.

Users will see improved performance on this page when importing large datasets.

Note: Users can access the Export to CSV and Excel by right clicking in the grid.

FINANCE

Finance - Bank Accounts page relocated & converted to a new UI

Config > Finance > Bank Accounts

The Banks Accounts page has been relocated to Config > Finance (previously Modules > Finance > Maintenance) and has also been converted to a new user interface.

The page has a new, improved look and feel. The most notable changes are:

  • The side menu will remain in view, but it can be minimised if required. Note: Only pages converted to the new UI will appear in the side menu.

  • View/Edit and Delete buttons at the top of the page will be enabled once a row is selected. 

  • Grid Actions now includes export to Excel as an option.

  • When clicking New, the Cards panel (previously labelled Debit Cards) will be displayed immediately when adding a new Bank Account.
